Refunds
Refund a card payment from the booking page, record money you gave back yourself, and keep balances right.
Card payments: refund from the booking
You can refund a card payment right in Flashslash, all of it or part of it:
- Open the booking and find the Money card.
- Click the refund button for the payment, like Refund the deposit of $200 or Refund the card payment of $800. A payment with a tip says so, and the tip can be refunded too.
- Check the Amount to refund. It starts at what's left on that payment; change it for a partial refund.
- Click Refund, then click again to confirm.
The money goes back to the card they paid with, from your Stripe account. Stripe keeps its processing fee on a refund, and a refund can't be undone. It takes 5 to 10 days to show on their statement.
You can also refund in your Stripe dashboard if you prefer: on Payments, click Stripe ↗ next to the payment to open it there. Use one or the other for each refund, not both.
Either way, Flashslash updates on its own:
- The payment shows the refunded amount, or Refunded if it was refunded in full.
- Paid so far on the booking goes down, so the balance goes up.
- Payments counts it under Refunded for the period.
- Accounting counts the payment net of the refund.
If you're refunding because the client is paying less, lower the price on the booking afterwards so it doesn't show a balance due. See Adjust a booking's price.
Money you gave back yourself
If a client paid you by cash, Venmo, Zelle or check and you gave some or all of it back outside Stripe, record it so your numbers stay right. In the booking's Money card, under the payment you recorded, click Record a refund, enter the Amount given back and the Method, then click Record refund.
- Paid goes down by that amount, and the balance goes up.
- Payments, Accounting and the payments export count it as refunded, just like a Stripe refund.
- If you refunded because the client is paying less, lower the price too. See Adjust a booking's price.
If a booking has been paid more than its price (for example after you lowered it), the Money card says how much you owe the client, so you don't forget to send it back.
Cancelling a booking doesn't refund it
Cancelling a booking (Cancel booking…, then Cancel booking and free the time) frees the time slot and closes any open payment link. It doesn't send money back, and the booking's page says so. To give a deposit back, use the refund button in the Money card. Leave the box to email them that it's cancelled ticked to let them know, and add a note if you like. Only owners and admins can cancel bookings.
Invoices
An unpaid invoice is cancelled from its page, with Cancel invoice. A paid one can't be cancelled: refund its payment from the booking like any other. See Invoices.
Gift card payments: put them back on the card
When a client paid part of a booking with a gift card, Money on the booking's page has a button like Put $150 back on the gift card, beside the card refunds. Click it, then click again to confirm.
Cancelling the booking does this for you: the cancel box has it ticked. Deleting a test client completely puts their gift card money back too.
The payment is marked refunded and the money goes back on the card, so the client can spend it again. If the card has been voided since, it stays void.
Refunding a gift card purchase
If someone bought a gift card on your website and you refund that purchase in Stripe:
- A full refund voids the card.
- A partial refund lowers what's left on the card.
You get a notification either way. If some of the card had already been spent on bookings, the notification tells you how much.
