A booking's page
Email the client, take payments, track the contract and questionnaire, assign a shooter, move and cancel.
Click any booking on the Calendar, the Bookings board, a client's page or anywhere else it's listed. Bookings open as a full page, with a back link to where you came from. The top shows the client, package, date, time and location, with the total, paid and balance.

Next to the status at the top you'll find Shoot-day view, a phone-friendly page for the day of the session (see The shoot-day view), and the stage menu for the Bookings board.
Email the client
Confirmed bookings have a row of pre-written emails: Email portal link, Email questionnaire reminder, Email balance reminder (when something is owed) and Email a review request (once your Google review link is set in the website builder, under Site > Social links). Click one, check the address it shows, and click again to send. Once the booking has a gallery, Send the gallery opens it ready to send. Sent emails show under Activity.
Client
The Client card shows their email, phone, what you're shooting and the location, plus their portal link.
- Edit changes the Package, Location, Shooting and Phone, then Save. If the booking was made with Decide later, pick the package here.
- Client profile opens their client record in a side panel, so you don't lose your place. Galleries open as full pages.
Money
The Money card shows the price breakdown (premium, add-ons, discount), total, paid and balance. These are buttons in the card (owners and admins):
- Email them a payment link sends the client an email with their portal link, where they pay online. Make a link to copy (or Payment link to copy) makes a Stripe link for the balance you can paste anywhere. It works for about a day. Both need Stripe connected. See Send a balance payment link or reminder.
- Record a payment (Venmo, Zelle, cash…): enter the Amount, How, Paid on and a Note (only you see it), then Record payment. If it's more than the balance, choose whether it's The price (the total goes up to match) or Extra, like a tip. See Record a payment made outside Stripe.
- A payment you recorded by hand has a Remove button if it was a mistake (click twice to confirm), and Record a refund for money you gave back yourself.
- A card payment has a Refund button for all or part of it, straight back to their card. See Refunds.
- Change the price: set a New total and Save price. Nothing is emailed to the client, and the change shows under Activity, like "Price changed from $400 to $350". Lowering it after a card payment? Refund the difference first.
- New invoice for this booking, for extras like an album or prints.
- Payment plan, for bookings made by hand: split the balance into 2 or more payments with Set up, then Change the plan or Remove plan. Each payment's pay link goes to them by email on its date.
If Stripe isn't connected yet, the card says so, and you can still record cash, Venmo and other payments.
Contract and questionnaire
The Contract card lists each contract with its status: waiting, opened or signed. Send contract sends your automatic contracts if none was sent yet. Resend emails the client the link again for any contract still waiting to be signed. Mark signed is for one signed on paper (click twice to confirm). The Questionnaire card shows the client's answers once they fill it in.
Who's shooting and private notes
Who's shooting, Move to another time and Activity start folded to keep the page short. Click one to open it.
If you have a team, tick who's shooting under Who's shooting and click Save. They get an email and see the session under My sessions, with your private notes and the questionnaire. Owners and admins can also set each person's Crew pay there. See Put someone on a session.
Private notes are for you and your team, never the client. Type them and click Save notes.
Needs attention
A booking is marked needs attention when a deposit arrived after the time was taken, or when a client paid more than the total. A red note explains what happened. Sort it out with the client, then click Mark resolved. If the time now belongs to someone else, move the booking to an open time, or cancel it and refund the deposit under Money.
Move or cancel
Use Move to another time to change the date or time, or Cancel booking… to cancel. See Rescheduling and cancellations.
